TrustID Maintenance Scheduled for Saturday, June 7th

Update (9th June 2025): The schedule maintenance has been completed and all services are back up and running.If you have any questions or need further assistance, please contact the Client Support team or your Customer Success Manager. Important Notice: TrustID Maintenance Scheduled for Saturday, June 7th We want to let you know about some essential maintenance our partner, TrustID, will be carrying out this Saturday, June 7th, expected to last from 12:00 AM to 10:00 AM.If your organisation uses our TrustID integration for any checks, please be aware that their system will be temporarily unavailable during this time. This means you won't be able to initiate or complete any checks through our system, and neither your team nor your candidates will be able to access the TrustID platform during these hours.We understand that any service interruption can be an inconvenience, and we apologise for any disruption this might cause if you rely on this service. TrustID has carefully chosen this timeframe based their historical usage data to keep the impact as low as possible for everyone.If you anticipate this maintenance might cause an issue for your candidates, we recommend sending out an ad hoc email to candidates at the appropriate stage to let them know about the downtime. Your Customer Success Manager can help if you'd like some guidance with this.This maintenance is a crucial step towards enhancing the resilience and scalability of the TrustID platform, which will ultimately result in a more reliable and efficient service for everyone.We appreciate your understanding and continued support as TrustID works to improve their service. Say hello to easier Right to Work checks with the Oleeo Recruit & Yoti integration!

We're excited to announce the launch of our latest integration with Yoti, a leading digital identity platform, now available within Oleeo Recruit. At Oleeo, we understand the critical importance and potential administrative burden of accurately conducting Right to Work checks. That's why we're thrilled to launch our integration with Yoti, now seamlessly embedded within the Oleeo Recruit platform. This powerful addition is designed to significantly streamline the process of checking candidates for their right to work in the UK. It makes it more efficient and secure for both your team and your valued candidates by simplifying verification and reducing administrative burdens. How it worksAs with all our integrations, there’s considerable flexibility in how these can be incorporated into your process. Here’s how it works: At the chosen time in the application flow, candidates are prompted to verify their identity for Right to Work checks. This seamlessly directs them to Yoti's secure platform to complete the required verification steps. The candidate is then taken back to the application centre. Enhanced Security & Convenience: Candidate 2FA Now Supports SMS Verification!

We're thrilled to announce an exciting update to our candidate Two-Factor Authentication (2FA) feature, making it even more accessible and flexible for your applicants! Expanding Candidate Account Security with SMS VerificationBuilding on our commitment to providing robust security and a seamless candidate experience, we've added the option for candidates to receive their 2FA verification codes via SMS. This enhancement offers greater flexibility and convenience, ensuring candidates can securely access their accounts using their preferred method.Adding this options addresses the diverse needs of your applicant pool, particularly those who may not have access to authenticator apps or prefer the familiarity and ease of SMS. How SMS 2FA WorksJust like our existing 2FA options, SMS verification adds an extra layer of protection to candidate accounts. Here's how it works:After entering their username and password, candidates will be prompted for an authentication code. Candidates receive their code via email, authenticator app or SMS, depending on their initial selection. Once the correct code is entered, they will be logged in as normal.Key Benefits of SMS 2FAIncreased Candidate Choice SMS verification broadens access to 2FA for candidates who may not use authenticator apps or want to use email 2FA. We are excited to announce the launch of Indeed Apply, a new integration between Oleeo and Indeed that will enhance the recruitment process for both recruiters and candidates. Discover Indeed Apply: Streamlining Your Recruitment ProcessWe’ve often heard customers say Indeed can be a great source of candidates, but it can be hard to convert interest in a job into actual applications. Candidates click on a job ad, but get distracted or lose interest once they’re redirected to a job board and asked to make a new log in.Indeed Apply bridges this gap, helping you retain the interest and attention of candidates from the moment they view your job ad, through to submitting their application. How Indeed Apply worksIndeed Apply is an integration between Oleeo and Indeed that enables:  Vacancy information to be pulled from Oleeo and automatically posted to Indeed Candidates to apply to the vacancy without having to leave Indeed Candidate details submitted via Indeed to be pulled back into Oleeo, creating a candidate profile and application. Key benefits of Indeed ApplyImproved Candidate Experience Indeed Apply significantly reduces the number of steps between viewing a job advert and submitting an application. By making the process smoother and easier, and enhancing the overall experience for candidates, Indeed Apply increases the likelihood of them completing an application. Getting started with the new vacancy management interface

The vacancy dashboard Improved vacancy creation Simplified access and navigation User guides In this guide, we’ll explore the benefits of Oleeo’s new vacancy management interface, and share some tips for getting the most from the new look. For more a more detailed walkthrough, take a look at our user guides: Processing applications from the application list Managing vacancy tabs For simplicity, in this guide the term vacancy is used to refer to what might be called an opportunity or requisition in your system. Your new interface will use whatever term your system uses. The new vacancy interface has been designed to enhanced system performance, and to make the experience of navigating Oleeo smoother and easier.  We’ve grouped the changes and benefits into three areas:The vacancy dashboard Improved vacancy creation Simplified access and navigation Below we breakdown each area, exploring what’s new and how it will benefit your day to day work. The vacancy dashboardWhen you land on vacancy, the first thing you’ll see is the vacancy dashboard. The dashboard makes it easier and quicker to access relevant information, via:Application list Application in Stage widget. The vacancy dashboard Application list The Application list lets you easily access applications, without having to navigate to a separate part of the system. Filtering applications by stage Quick tips The Application list is a great way to quickly access and review candidate information, and allows you to click through to the full application page, where you can perform advanced actions Use the drop down filter to filter according to stage, and use the search box to search according to the column headings  The Pin button is a brand new feature - use it to bookmark applications that are note worthy. You can then use the Pinned Only checkbox to filter your list on any applications that you’ve pinned. Applications in stage widget The aim of this widget is to give you useful information about the vacancy. It shows the number of active applications at each stage of the vacancy process. Stage refers to group of statuses that represent a stage. For example - a stage called “1st Interview” might include the statuses “Invited to 1st Rd Interview”, “Scheduled for 1st Rd Interview”.Applications in stageQuick tips You can access the list of the applications in each stage by clicking on the number.  Improved vacancy creationWe’ve enhanced the vacancy creation process by moving it from a page, to a pop out screen. The pop out screen means there is less data to load, and will allow users to immediately start building their vacancy. Creating a vacancy Quick tipThe option to copy a vacancy has been moved to the creation stage.  Selecting Existing allows you to copy an existing vacancy, and use that as the basis for your new one.  Simplified access and navigationA common theme that emerged from our user research was that the vacancy summary page was overwhelming, and contained too much information. To reduce visual clutter and cognitive load, we’ve introduced:Tab visibility control Single point of access through the Edit buttonTab visibility control The new vacancy interfaces gives each user greater control over which sections of a vacancy are displayed to them. The new vacancy dashboard will display the following tabs by default: Summary Interviews Posting (also known as Portals) History External Posting (if enabled on your system) Agency Posting (if enabled on your system)The aim here is to prioritise the most frequently used and relevant tabs. Everything else can be accessed via the Edit button, and individual users can choose to show or hide tabs. Note: Overall tab access and availability will still be governed by your system’s access settings. Use the Hide/Show toggle to control which tabs appear on your dashboardQuick tipsUse tab visibility to hide tabs that aren’t relevant to your role, or to the stage the vacancy is at.  Single point of access through the Edit buttonThis button in the top right corner of the screen allows you to access and - where access allows - edit all parts of a vacancy from a single point. The Edit buttonAfter clicking Edit, you’ll be shown a pop out screen displaying any sections that aren’t shown as a vacancy tab.
