v3.393 Release Notes 16th April 2025

   NEW Improved the way search engines read inactive vacancies 💡We’ve made changes to how vacancies that aren’t active are tagged when search engines index job boards. With this update, vacancies that aren’t active (including closed or unposted) are now tagged with ‘noindex’, which means search engines are asked not to list these jobs in their search results. This provides a better brand image and less confusing candidate experience.Note that once the tag has been added, it will still take time for the search engine to remove the page from its search results. Accessibility improvementsIn the high contrast theme, we’ve make a change to the visuals when you select a row. When you select a row, there’s a high contrast border to make it clearer which rows are selected.We’ve also made changes to the focus indicators that are used when navigating through the system using a keyboard. As browser support has improved, we’ve now removed the need to configure whether a focus indicator shows when tabbing through the system. This is now enabled everywhere and the option to toggle has been removed from the accessibility options in the Preferences section of the user options.As part of this, we’ve also ensured that all browsers see the same focus indicator. This means that it’ll always be clear and contrasting, no matter which of our themes you’re using. Because of this, the focus indicator may look a little different to what you’re used to, depending on which browser you use.The focus indicator on the Last Name field FIXES Clearer feedback when you can’t be notified for saved searches 💡When you create a saved search, you have the option of being alerted when new items are added to the search results. For some search criteria, this isn’t possible. With this release, there’s now a clearer pop-up notification to let you know that you can’t get alerts on this search. v3.392 Release Notes 2nd April 2025

   NEW Improved user experience for creating and editing Table LayoutsTable Layouts are a flexible and configurable way to display the many types of data stored in your system. We’ve made several changes to make it easier to create and edit them.When you’re creating a new Table Layout, it now opens on the Save Options tab. This allows you to input the title and choose the type of object (e.g. applications) first. This is more useful since you need these before you can save or start adding columns.It can be easy to forget to define what happens to a layout when a user double clicks. In this release, when you create a new opportunity or application Table Layout, the double click URL will be defaulted to open the opportunity/application. This is the most common usage so will save time in having to look up the correct URL and add in.We’ve also added helptext to the Purpose field, so it’s clearer what this field represents.  Clearer buttons for viewing application import outcomeWhen importing applications, you’re presented with links to see the applications that have been imported successfully and that have failed due to errors. We’ve made these clearer so that they’re easier to spot. Accessibility improvementsWhen editing an application form, there are buttons at the bottom of the form to move back and forth through the form. We’ve changed these so that they’re tagged as buttons. This means they’ll closer match the Name, Role, Value (4.1.2) success criteria of WCAG 2.1. FIXES Consistent view when editing form itemsWhen editing a form, we support the flexibility to customise the labels and items with datapaths, expressions and placeholders. Enhanced Security & Convenience: Candidate 2FA Now Supports SMS Verification!

We're thrilled to announce an exciting update to our candidate Two-Factor Authentication (2FA) feature, making it even more accessible and flexible for your applicants! Expanding Candidate Account Security with SMS VerificationBuilding on our commitment to providing robust security and a seamless candidate experience, we've added the option for candidates to receive their 2FA verification codes via SMS. This enhancement offers greater flexibility and convenience, ensuring candidates can securely access their accounts using their preferred method.Adding this options addresses the diverse needs of your applicant pool, particularly those who may not have access to authenticator apps or prefer the familiarity and ease of SMS. How SMS 2FA WorksJust like our existing 2FA options, SMS verification adds an extra layer of protection to candidate accounts. Here's how it works:After entering their username and password, candidates will be prompted for an authentication code. Candidates receive their code via email, authenticator app or SMS, depending on their initial selection. Once the correct code is entered, they will be logged in as normal.Key Benefits of SMS 2FAIncreased Candidate Choice SMS verification broadens access to 2FA for candidates who may not use authenticator apps or want to use email 2FA. Enhanced Convenience Many candidates find SMS verification quick, easy and familiar, especially if they are already accessing from their mobile device. v3.391 Release Notes 19th March 2025

   NEW Including attachments in RSS feeds ⚙️Our RSS feeds provide a convenient way for third parties to retrieve data on the vacancies on a job board. With this update, the structured feed can be configured to include any attachments. For clients who attach job descriptions, competency frameworks, etc. to the job advert, this update means the RSS feed will provide a more complete view of the vacancy. Accessibility improvementsWe’ve improved the date picker widget to have better readability. We’ve added an underline for today’s date (in addition to the colour that was already there).          We’ve also made a change specifically for the high contrast version of the date picker in the interview functionality. v3.390 Release Notes 10th March 2025

   NEW Video item indicators on table layoutsTable layouts are a great way to see application items in one place. With this update, users can display right on the layout whether a video item (for example, those used in On Demand Video Screening) has an associated video. This means users can track at a glance whether video questions have been answered. Alongside adding to table layouts, users can also use these as search criteria to filter applications where items do or don’t contain videos. Accessibility improvementsOn dashboards, there are dropdown menus that let you edit the tabs and add widgets. Users can now interact with all menu items via keyboard only, making them more accessible. FIXES Datapaths now remain in buttons after savingDatapaths can be used in button labels to make the candidate experience more personalised. There has been an issue where the datapaths would disappear from the button when the process was edited. With this fix, the datapath will remain visible. Full summary of errors is shown when a vacancy import failsWhen importing vacancies, if there are any errors, the user is given a breakdown of what went wrong. Previously, this didn't apply when all rows in the import failed. With this release, now the user will receive a breakdown of what went wrong even if they all fail, making it much easier to understand and address the issues. Manual letters to generate in the applicant's preferred languageWhere there are multiple languages in a system, letters can be configured for all supported languages. When a user manually creates a letter, this would have been created in the user's system language. v3.388 Release Notes 5th February 2025

   NEW Candidate 2FA: history and datapath improvements (#41659, #41597) 💡When a candidate enables or changes their 2FA method, this will be shown in the history tab for that candidate. Also, it’s now possible to use a datapath to reference a candidate’s method of 2FA (including not enabled). With this, messaging to a candidate can be tailored based on their current 2FA setup.Candidate’s 2FA changes in the History tab Adding helptext to preferred language option to improve clarity (#41525) 💡We’ve added helptext to the candidate’s preferred language option. When a candidate changes their preferred language, this only affects future applications and communications. This helptext makes this clearer and reduces confusion that previous text remains unchanged. Multiple UI improvements (#41587, #41579, #41546, #41564, #41427)Several changes to make the user interface easier to navigate and understand when configuring:On the Status Values page, changing the name of the tab for application statuses from “Recruitment” to “Application” to better reflect its purpose. When creating a new lookup list, the list of translation options is now hidden by default. Since most lookup lists don’t require translation, this makes the page more clean and reduces confusion for newer users. When creating a new form item of the “Database Object” type, the “Object Class” field now appears underneath (rather than the bottom of the page). This makes it more clear that this field has been added and is mandatory. When creating a Local Lookup Lists Set or Local Localised Lookup List, the “Based on Lookup List” field is now mandatory. Correspondence category is now mandatory when creating and editing emails and SMS.The new, cleaner UI for creating lookup lists Including process API call information in the history tab (#41510) 💡Improved information in the application or opportunity history tab when API calls form part of the process. Users will now see the name of the action and the response. Include hiring campaign info in Oleeo API calls (#41595)API users can view, add and edit hiring campaign information for vacancies via the API. Allowing the import of video items (#41640)Users can use the form item import functionality to import video form items. FIXES Double clicking on referral items to open the referral (#41468) 💡Previously, it was not possible to double-click on a referral in a layout due to an issue with the click-through URL. NEW Accessibility improvements (#39292, #41071, #40975, #41273)Various accessibility improvements to ensure our platform can be interacted with by all users.Ensuring that the keyboard focuses on the correct element when certain pages load, which improves usability for anyone using a screen reader. Ensuring that the previous and next buttons for datepickers work correctly for screen reader users. Improving clarity to the user when downloading large spreadsheets or PDFs (e.g. exporting config labels or downloading printbooks). Providing clearer guidance to screen reader users on how to access the help menu of the rich text editor. An example of the new user interface when downloading large files. FIXES Downloaded process reports show IDs (#41371)When downloading a config report for processes, the generated report now contains the ID of each status value.  Deactivated users displaying properly in forms (#41389)Previously, when a user was deactivated, they would appear blank if referenced in some forms (e.g. a recruiter or hiring manager field within a form). We are excited to announce the launch of candidate 2FA, a more secure way for candidate users to log in.  Enhance Candidate Account Security with Two-Factor AuthenticationWe understand that security is a top priority for job seekers and our customers. That's why we've implemented two-factor authentication (2FA) for candidate logins.With 2FA, you can add an extra layer of protection to candidate accounts. This helps prevent unauthorized access and ensures that only they can view and manage their personal information.2FA provides candidates with peace of mind during their job search and enhances the overall security of the application process. How candidate 2FA worksWith candidate 2FA enabled:Candidates will be prompted for an authentication code after entering their username and password.    NEW Improvements to the vacancy upload tool for large files (#40598)Previously, when a large file was uploaded via the vacancy upload tool, it was at risk of timing out. Now, if the file is large, the system will upload this asynchronously and provide a notification when it’s complete. The progress can be seen in the Async Tasks section of My Tasks. Copied and moved applications to be treated differently in processes (#41238)It’s now possible to apply different process rules to applications that have been copied or moved from existing applications. Processes to automatically move applications through states based on response from an API call (#41106)We now have the ability to move applications through different states automatically, depending on the response that comes back from an API called in that state.The status will move to the defined state:When we are not expecting a callback and the initial response is a success When we are expecting a callback and we receive the callback successfully Tables in letters can now be set as full width (#41219)When creating letters, users can set the table to be full width. The table will then appear as the full width of the page (minus the margins).    NEW Easier referencing of placeholders and expressions in SMS (ticket ref #41159)There are now icons in the text editor for SMS messages which make it easier to incorporate placeholders and expressions. Clicking on these works the same as in other text editors. Improved explanation of errors on import (ticket ref #41066)We’ve added clearer error messaging for when a bulk import fails. Now, users will see the specific issue with the first line that caused an error, which will allow them to more easily diagnose the issue and fix themselves. New datapath for a user’s active Profile (ticket ref #40900)We’ve added a new datapath to reference the Profile that a user is currently using. This can be referenced using user.active_urp_id. This enables, for example, form items to be made visible only to certain types of users. Ability to hide the “Reply to” and “Cc” fields in editable correspondence (ticket ref #41221) 💡⚙️We’ve now added the ability to hide the “Reply to” and “Cc” fields when the content of an email can be edited. This means that customers can reduce the risk that emails are sent to unintended recipients. Accessibility improvements (ticket refs #41098, #40700, #40453, #40692, #41184, #41077, #40673, #40698, #40999, #40674)When zoomed in at over 300%, cards on the summary tab for individual applications, candidates and events will now stack so it is a more responsive layout.  This is part of ongoing changes to support those with low vision. Toggling checkboxes to select rows in datatables on dashboard graphs now supports interaction with keyboard. Adding axes to reports is now supported via keyboard. New template page and link for accessibility statement. This means that a consistent candidate-facing accessibility statement can be created and referenced. Improvements to how screenreaders interpret some types of datepicker. Improvements to how screenreaders interpret mutliselect fields. Plus improvements to visibility if multiselects are switched off. Improvements to how screenreaders interpret form labels. Improvements to how screenreaders interpret creating assessment centre slots. v3.382 Release Notes 30th October 2024

 NEW Human readable DA & Expressions available in edit mode (ticket ref #40202)  Previously, the “Human Readable” feature only translated a Decision Action or Expression when in ‘View’ mode. We’ve made an update so that it also displays in ‘Edit’ mode.This will help configuration users when making amendments. Quick Search Improvements (ticket ref #41050)💡 We’ve improved how the quick search processes certain searches. If your search is only numeric, then the quick search will only search for IDs that are exact match (so things like Application IDs, Vacancy IDs, etc)If you include a tilda (~) before the number, then it will widen the search to how it previously worked.Feedback received from customers revealed that users that searched just for a number typically were entering in the exact match of the ID for the application or vacancy they wanted to find. This should improve the speed of the searches and allow users to get results quicker while they are still able to do a full search (using ~ ) when necessary   Bulk Reporting for email statuses (ticket ref #40027)💡⚙️ It’s now possible to see from the Application List view if any applications have had any of their emails bounced.  NEW Add copy email template button (ticket ref #40378) We’ve added the option to copy email templates in config. This should make creating new SMS templates quicker and easier for self-config users. Add supported language: Irish (ticket ref #40386)⚙️💡 We’ve added a new available language: Irish.  NEW Configuration Notes within the Form Editor (ticket ref #39864)⚙️ We have introduced the ability to add “Configuration Notes” to various elements within forms in the Form Editor.This will help self-config users be aware of what’s configured on a form and why so that they don’t unintentionally configure something that breaks something else in the form.Users can identify elements that have ‘Configuration Notes’ by the ‘?’ icon which will appear next to them.Hovering your mouse over the ‘?’  reveals the note. New datapath for ‘last_in’ ⚙️ There’s a new datapath available to use which includes ‘last_in’.This datapath allows you to use the AGE() function to determine how long ago an application or vacancy was most recently moved into a status. Previously, this was only possible with ‘first_in’ which meant if it was common for the status to move backwards and forwards often, the calculations could be off for the purpose of the AGE() function.An example of a datapath using ‘last_in’ would be as follows:application.process_state_records.ps:<process_state_id>.last_inYou can then include the AGE() function to display how many days since that timestamp like this:AGE(application.process_state_records.ps:<process_state_id>.last_in, “DAYS”) Ability to set Linkedin Company ID on a vacancy by vacancy basis⚙️💡 We’ve made it possible for the Linkedin Posting integration to check a vacancy item for the ‘Linkedin Company ID’. Currently the Linkedin Company ID is set by Oleeo Job Board or by a system-wide config key.Making it possible to be set on a vacancy by vacancy basis will allow customers that have a large number of companies using the same system be able to more easily manage their Linkedin integration Alt text for layout listing icons When editing table layouts, it’s possible to replace lookup values with icons. We’ve now made it so if you do this and a user then hovers their mouse of the icon, the lookup value that the icon represents will now display. NEWDate format on job alerts changed to make it clearer (ticket ref #40265) When a candidate edits a job alert, they will see a line of text saying how long the alert will be active. Candidates may be used to reading dates in a different format, so to make this more accessible - the formatting has been altered to make it immediately clear which month the alert will expire in. Option to add branding to unauthenticated feedback forms introduced (ticket ref #39990) ⚙️This is a configurable change. To help organisations to have consistent visual identity across their recruitment process - it’s now possible to apply branding via CSS to unauthenticated feedback forms (e.g reference forms) as well the confirmation page that displays when a deeplink is used (e.g an external user approving an offer or a vacancy).Icons added to process rules to help distinguish different functions (ticket ref #39831)When looking at process rules, it can be tricky to see at a glance what is happening at each stage. We’ve introducing icons to help users quickly identify rule settings.  Eye = a visibility rule is set  Forked arrow = a trigger rule has been set Crossed out eye = the ‘show’ property on the rule has been uncheckedDetective = ‘allow anonymous’ is checked  To help users understand the icons - we’ve also added a tool tip to each icon that explains the rule.
