NEW Accessibility improvements (#39292, #41071, #40975, #41273)Various accessibility improvements to ensure our platform can be interacted with by all users.Ensuring that the keyboard focuses on the correct element when certain pages load, which improves usability for anyone using a screen reader. Ensuring that the previous and next buttons for datepickers work correctly for screen reader users. Improving clarity to the user when downloading large spreadsheets or PDFs (e.g. exporting config labels or downloading printbooks). Providing clearer guidance to screen reader users on how to access the help menu of the rich text editor. An example of the new user interface when downloading large files. FIXES Downloaded process reports show IDs (#41371)When downloading a config report for processes, the generated report now contains the ID of each status value.  Deactivated users displaying properly in forms (#41389)Previously, when a user was deactivated, they would appear blank if referenced in some forms (e.g. a recruiter or hiring manager field within a form). Introducing candidate 2FA - now available!

We are excited to announce the launch of candidate 2FA, a more secure way for candidate users to log in.  Enhance Candidate Account Security with Two-Factor AuthenticationWe understand that security is a top priority for job seekers and our customers. That's why we've implemented two-factor authentication (2FA) for candidate logins.With 2FA, you can add an extra layer of protection to candidate accounts. This helps prevent unauthorized access and ensures that only they can view and manage their personal information.2FA provides candidates with peace of mind during their job search and enhances the overall security of the application process. How candidate 2FA worksWith candidate 2FA enabled:Candidates will be prompted for an authentication code after entering their username and password. Candidates can receive their code via email or authenticator app. Once the correct code is entered, they will be logged in as normal.Key benefits of candidate 2FAEnhanced security for candidate accountsTwo-factor authentication provides an additional layer of security on candidates’ accounts, making it more difficult for unauthorised individuals to gain access. Improved candidate experienceCandidates provide a significant amount of personal information when applying for jobs and being onboarded.    NEW Improvements to the vacancy upload tool for large files (#40598)Previously, when a large file was uploaded via the vacancy upload tool, it was at risk of timing out. Now, if the file is large, the system will upload this asynchronously and provide a notification when it’s complete. The progress can be seen in the Async Tasks section of My Tasks. Copied and moved applications to be treated differently in processes (#41238)It’s now possible to apply different process rules to applications that have been copied or moved from existing applications. Processes to automatically move applications through states based on response from an API call (#41106)We now have the ability to move applications through different states automatically, depending on the response that comes back from an API called in that state.The status will move to the defined state:When we are not expecting a callback and the initial response is a success When we are expecting a callback and we receive the callback successfully Tables in letters can now be set as full width (#41219)When creating letters, users can set the table to be full width. The table will then appear as the full width of the page (minus the margins). v3.384 Release Notes 27th November 2024

   NEW Easier referencing of placeholders and expressions in SMS (ticket ref #41159)There are now icons in the text editor for SMS messages which make it easier to incorporate placeholders and expressions. Clicking on these works the same as in other text editors. Improved explanation of errors on import (ticket ref #41066)We’ve added clearer error messaging for when a bulk import fails. Now, users will see the specific issue with the first line that caused an error, which will allow them to more easily diagnose the issue and fix themselves. New datapath for a user’s active Profile (ticket ref #40900)We’ve added a new datapath to reference the Profile that a user is currently using. This can be referenced using user.active_urp_id. This enables, for example, form items to be made visible only to certain types of users. Ability to hide the “Reply to” and “Cc” fields in editable correspondence (ticket ref #41221) 💡⚙️We’ve now added the ability to hide the “Reply to” and “Cc” fields when the content of an email can be edited. This means that customers can reduce the risk that emails are sent to unintended recipients. Accessibility improvements (ticket refs #41098, #40700, #40453, #40692, #41184, #41077, #40673, #40698, #40999, #40674)When zoomed in at over 300%, cards on the summary tab for individual applications, candidates and events will now stack so it is a more responsive layout.  This is part of ongoing changes to support those with low vision. Toggling checkboxes to select rows in datatables on dashboard graphs now supports interaction with keyboard. Adding axes to reports is now supported via keyboard. New template page and link for accessibility statement. This means that a consistent candidate-facing accessibility statement can be created and referenced. Improvements to how screenreaders interpret some types of datepicker. Improvements to how screenreaders interpret mutliselect fields. Plus improvements to visibility if multiselects are switched off. Improvements to how screenreaders interpret form labels. Improvements to how screenreaders interpret creating assessment centre slots. v3.382 Release Notes 30th October 2024

 NEW Human readable DA & Expressions available in edit mode (ticket ref #40202)  Previously, the “Human Readable” feature only translated a Decision Action or Expression when in ‘View’ mode. We’ve made an update so that it also displays in ‘Edit’ mode.This will help configuration users when making amendments. Quick Search Improvements (ticket ref #41050)💡 We’ve improved how the quick search processes certain searches. If your search is only numeric, then the quick search will only search for IDs that are exact match (so things like Application IDs, Vacancy IDs, etc)If you include a tilda (~) before the number, then it will widen the search to how it previously worked.Feedback received from customers revealed that users that searched just for a number typically were entering in the exact match of the ID for the application or vacancy they wanted to find. This should improve the speed of the searches and allow users to get results quicker while they are still able to do a full search (using ~ ) when necessary   Bulk Reporting for email statuses (ticket ref #40027)💡⚙️ It’s now possible to see from the Application List view if any applications have had any of their emails bounced.  NEW Configuration Notes within the Form Editor (ticket ref #39864)⚙️ We have introduced the ability to add “Configuration Notes” to various elements within forms in the Form Editor.This will help self-config users be aware of what’s configured on a form and why so that they don’t unintentionally configure something that breaks something else in the form.Users can identify elements that have ‘Configuration Notes’ by the ‘?’ icon which will appear next to them.Hovering your mouse over the ‘?’  reveals the note. New datapath for ‘last_in’ ⚙️ There’s a new datapath available to use which includes ‘last_in’.This datapath allows you to use the AGE() function to determine how long ago an application or vacancy was most recently moved into a status. Previously, this was only possible with ‘first_in’ which meant if it was common for the status to move backwards and forwards often, the calculations could be off for the purpose of the AGE() function.An example of a datapath using ‘last_in’ would be as follows:application.process_state_records.ps:<process_state_id>.last_inYou can then include the AGE() function to display how many days since that timestamp like this:AGE(application.process_state_records.ps:<process_state_id>.last_in, “DAYS”) Ability to set Linkedin Company ID on a vacancy by vacancy basis⚙️💡 We’ve made it possible for the Linkedin Posting integration to check a vacancy item for the ‘Linkedin Company ID’. Currently the Linkedin Company ID is set by Oleeo Job Board or by a system-wide config key.Making it possible to be set on a vacancy by vacancy basis will allow customers that have a large number of companies using the same system be able to more easily manage their Linkedin integration Alt text for layout listing icons When editing table layouts, it’s possible to replace lookup values with icons. We’ve now made it so if you do this and a user then hovers their mouse of the icon, the lookup value that the icon represents will now display. NEWDate format on job alerts changed to make it clearer (ticket ref #40265) When a candidate edits a job alert, they will see a line of text saying how long the alert will be active. Candidates may be used to reading dates in a different format, so to make this more accessible - the formatting has been altered to make it immediately clear which month the alert will expire in. Option to add branding to unauthenticated feedback forms introduced (ticket ref #39990) ⚙️This is a configurable change. To help organisations to have consistent visual identity across their recruitment process - it’s now possible to apply branding via CSS to unauthenticated feedback forms (e.g reference forms) as well the confirmation page that displays when a deeplink is used (e.g an external user approving an offer or a vacancy).Icons added to process rules to help distinguish different functions (ticket ref #39831)When looking at process rules, it can be tricky to see at a glance what is happening at each stage. We’ve introducing icons to help users quickly identify rule settings.  Eye = a visibility rule is set  Forked arrow = a trigger rule has been set Crossed out eye = the ‘show’ property on the rule has been uncheckedDetective = ‘allow anonymous’ is checked  To help users understand the icons - we’ve also added a tool tip to each icon that explains the rule. We are excited to announce the launch of Indeed Apply, a new integration between Oleeo and Indeed that will enhance the recruitment process for both recruiters and candidates. Discover Indeed Apply: Streamlining Your Recruitment ProcessWe’ve often heard customers say Indeed can be a great source of candidates, but it can be hard to convert interest in a job into actual applications. Candidates click on a job ad, but get distracted or lose interest once they’re redirected to a job board and asked to make a new log in.Indeed Apply bridges this gap, helping you retain the interest and attention of candidates from the moment they view your job ad, through to submitting their application. How Indeed Apply worksIndeed Apply is an integration between Oleeo and Indeed that enables:  Vacancy information to be pulled from Oleeo and automatically posted to Indeed Candidates to apply to the vacancy without having to leave Indeed Candidate details submitted via Indeed to be pulled back into Oleeo, creating a candidate profile and application. The vacancy dashboard Improved vacancy creation Simplified access and navigation User guides In this guide, we’ll explore the benefits of Oleeo’s new vacancy management interface, and share some tips for getting the most from the new look. For more a more detailed walkthrough, take a look at our user guides: Processing applications from the application list Managing vacancy tabs For simplicity, in this guide the term vacancy is used to refer to what might be called an opportunity or requisition in your system. Your new interface will use whatever term your system uses. The new vacancy interface has been designed to enhanced system performance, and to make the experience of navigating Oleeo smoother and easier.  We’ve grouped the changes and benefits into three areas:The vacancy dashboard Improved vacancy creation Simplified access and navigation Below we breakdown each area, exploring what’s new and how it will benefit your day to day work. The vacancy dashboardWhen you land on vacancy, the first thing you’ll see is the vacancy dashboard. The dashboard makes it easier and quicker to access relevant information, via:Application list Application in Stage widget. The vacancy dashboard Application list The Application list lets you easily access applications, without having to navigate to a separate part of the system. Filtering applications by stage Quick tips The Application list is a great way to quickly access and review candidate information, and allows you to click through to the full application page, where you can perform advanced actions Use the drop down filter to filter according to stage, and use the search box to search according to the column headings  The Pin button is a brand new feature - use it to bookmark applications that are note worthy. You can then use the Pinned Only checkbox to filter your list on any applications that you’ve pinned. Applications in stage widget The aim of this widget is to give you useful information about the vacancy. It shows the number of active applications at each stage of the vacancy process. Stage refers to group of statuses that represent a stage. For example - a stage called “1st Interview” might include the statuses “Invited to 1st Rd Interview”, “Scheduled for 1st Rd Interview”.Applications in stageQuick tips You can access the list of the applications in each stage by clicking on the number.  Improved vacancy creationWe’ve enhanced the vacancy creation process by moving it from a page, to a pop out screen. The pop out screen means there is less data to load, and will allow users to immediately start building their vacancy. Creating a vacancy Quick tipThe option to copy a vacancy has been moved to the creation stage.  Selecting Existing allows you to copy an existing vacancy, and use that as the basis for your new one.  Simplified access and navigationA common theme that emerged from our user research was that the vacancy summary page was overwhelming, and contained too much information. To reduce visual clutter and cognitive load, we’ve introduced:Tab visibility control Single point of access through the Edit buttonTab visibility control The new vacancy interfaces gives each user greater control over which sections of a vacancy are displayed to them. The new vacancy dashboard will display the following tabs by default: Summary Interviews Posting (also known as Portals) History External Posting (if enabled on your system) Agency Posting (if enabled on your system)The aim here is to prioritise the most frequently used and relevant tabs. Everything else can be accessed via the Edit button, and individual users can choose to show or hide tabs. Note: Overall tab access and availability will still be governed by your system’s access settings. Use the Hide/Show toggle to control which tabs appear on your dashboardQuick tipsUse tab visibility to hide tabs that aren’t relevant to your role, or to the stage the vacancy is at.  Single point of access through the Edit buttonThis button in the top right corner of the screen allows you to access and - where access allows - edit all parts of a vacancy from a single point. The Edit buttonAfter clicking Edit, you’ll be shown a pop out screen displaying any sections that aren’t shown as a vacancy tab. v3.372 Release Notes 13 June 2024

NEWJob alerts will automatically deactivate after six months (ticket ref #35902)To improve job alert emails for both candidates and recruiters, we’ve introduced a time limit. When a candidate signs up for a job alert, by default it will be set to run for six months. The candidate will also have the option to set the alert to run for nine or 12 months, via the drop down menu. After the time limit passes, the candidate will not longer receive that job alert. By setting job alerts to automatically deactivate (but not delete) after a certain period of time - candidates are less likely to receive job alerts when they’re no longer relevant, and are therefore less likely to report them as spam. Overall this will improve the system’s sensibility reputation.  FIXESMisleading messaging on mobile site corrected (ticket ref #39744)On our mobile site, there was a messaging error relating to CV processing when there was no CV. We’ve corrected the wording so it’s clear whether or not there is a CV present. These changes were released on 13th June 2024, in version v3.372.All new features and fixes will automatically appear in your system, unless they are marked as a configurable change. NEWNow possible to add a ‘Create Referral’ quick to homepage dashboard (ticket ref #39825)To make it quicker and easier for users to start the referral process, you can now add ‘Create Referral’ as a quick link to the homepage dashboard.  Ability to filter SMS templates according to whether they’re deprecated (ticket ref #39813) We want to make it easier for users to filter out SMS templates that are not longer relevant. To do this, we’ve  added ‘Is deprecated’ as a column to the SMS template list. Users can now filter the list so only active templates are shown. Description field for all lookup lists is no longer mandatory (ticket ref #39826)Now when creating any type of lookup list, the field ‘list description’ is no longer mandatory. Reducing the number of mandatory fields should make it quicker to make lookup lists. FIXESWhen creating a lookup list, the multiple values checkbox is more visible (ticket ref #39766)The multiple values check box for lookup lists has been moved further up the page, so it’s harder to overlook when creating a list. These changes were released on 30th May 2024, in version v3.371.All new features and fixes will automatically appear in your system, unless they are marked as a configurable change. v3.370 Release Notes 15 May 2024

NEWOne-click unsubscribe header added to CRM and job alert emails (ticket ref #39273)To make it easier for candidates to control their subscriptions, and to comply with best practice email sender guidelines, we’ve added a ‘one click’ unsubscribe headers to CRM and job alert emails. If a candidate clicks this header, they will only be unsubscribed from the specific campaign or job alert that the email in question originated from. Unsubscribe links in the body of emails will continue to operate as the currently do, and will direct the candidate to page where they can manage all their email subscriptions. Ability to search on customised columns in the Vacancy participants tab (ticket ref #39698)This is an enhancement to the existing functionality that enables users to customise and add columns to the layout on the participants tab in within Vacancy. Users are now able to use the search box to filter by additional columns. Option to add Rollup List to data dictionary (ticket ref #39424)To make it help users more quickly report on a range of data - we’re making it easier to add Rollup Lists to the data dictionary when creating them. When creating a Rollup List, there is now the option to add it data dictionary in the Details tab.  Adhoc referrer added to job alert URLs (ticket ref #39707)To help recruiters track the success and impact of job alert emails, tracking information has been added to the URL of all job alert emails, in the form of "?adhoc_referrer=JobAlert??”These changes were released on 15th May 2024, in version v3.370.All new features and fixes will automatically appear in your system, unless they are marked as a configurable change. v3.369 Release Notes 1 May 2024

NEWStyle updates to vacancy summary, application summary, candidate summary and layout lists (ticket ref #39700) Oleeo is continually making improvements to its user experience and design. As part of this work, we’ve rolled out stylistic changes to some areas. These changes have no functional impact. and only affect the font and colour of the areas. These updates are only visible to users who adopted the new left hand menu interface last November. The screenshot below shows how the style update looks on layout list pages (i.e search results, application lists, vacancy lists). The screenshot below show the style update to vacancy summary, application summary, and candidate summary pages. Preview of available themes shown in Account settings (ticket ref #39307)We’ve updated the Theme tab in Account settings so that users see a preview image of the different themes. This makes it easier for them to decide which theme is right for them.  Option to include psychometric test results in print books (ticket ref #39509) We’ve introduced the option to include psychometric test results in print books. When creating a print book, users will have the option to select the relevant forms from a drop down menu. FIXESIncreasing the number of placeholder that can be inserted into correspondence (ticket ref #39621)The ability to insert placeholders into correspondence via rich text editor, rather than config syntax, was released in v 3.364. We’ve enhanced this feature by increasing the number of placeholder available from 100 to 200. These changes were released on 1st May 24, in version v3.369.All new features and fixes will automatically appear in your system, unless they are marked as a configurable change. v3.368 Release Notes 17 April 2024

NEWWhen switching to a role with lesser permissions, users will be redirected to the homepage (ticket ref #39309)Sometimes when switching to a different profile, it’s possible to log in as a user that doesn’t have access to the area of the system the primary user is currently in. Previously this meant the user saw an error message saying they didn’t have the right permissions.Now - when a user switches to a different profile, if the new profile doesn’t have access - the system will automatically redirect the user to the home dashboard. This makes the switching between different users smoother and easier. Import label updated to reflect accepted file types (ticket ref #39585) Previously when Importing users, the label on the import tool specified only XLS files. This has now been updated to reflect that both XLS and XLSX files can be used to import. Improvements for speech recognition accessibility (ticket ref #38368)We’ve made improvements to how buttons and links are formatted to make them more accessible for both screenreaders and speech recognition software.  FIXESRemoving intermittent styling issues affecting users on Firefox (ticket ref #39612)Some users accessing Oleeo on Firefox were reporting seeing some styling inconsistencies, which have now been addressed. Ability to add to data dictionary fixed (ticket ref #39369) We had some reports that when trying to add to the data dictionary, after selecting the group item and clicking add existing, rather than seeing a list of existing items, the list was blank.   NEWPrefix search in left hand menu now case insensitive (ticket ref #39538)This is an update to the existing functionality that enables users to navigate directly to either vacancies or applications by using the prefix v: or a: respectively, followed by the ID number. The search prefixes are now case insensitive, meaning you can use either uppercase or lowercase letters. Full search results easily accessible from Filtered list widgets (ticket ref #39372) To make it easier to perform bulk actions - there is now a link in the title of Filtered list widgets. Clicking the arrow icon next to the title will take the user to a search results page with the same data in the same lay out. From this page the user can perform bulk actions that aren’t accessible from the homepage.FIXESError causing issues when deleting a vacancy template removed (ticket ref #39526) We’ve resolved the glitch that was preventing vacancy templates from being deleted when the config key feature.vacancy.restricted_create was enabled. These changes were released on 4th April 2024, in version v3.367.All new features and fixes will automatically appear in your system, unless they are marked as a configurable change.
