When you have a new opportunity, you can search your Talent Bank and invite suitable candidates to apply to your opportunity.
SEARCHING YOUR TALENT BANK FOR IDEAL CANDIDATES
- Go to your Talent Bank and open the 'Applications' tab:
- Go to the Talent Bank's view page.
- Select the 'Applications' tab.
- Load the applications in the active status:
- On the Applications tab, you'll see a table in the center of the page. This table breaks down the number of applications in various statuses within your Talent Bank. The available statuses depend on your Talent Bank's Process Flow configuration and may include default options such as:
- 'Application - Start': The initial status when a candidate applies.
- 'Talent Bank': The default "active" status for Talent Banks.
- 'Talent Bank - withdrawn': The status for applications where candidates have withdrawn.
- To view candidates in the "active" status (Talent Bank), click on the number in the 'TOTAL' column for this status.
- On the Applications tab, you'll see a table in the center of the page. This table breaks down the number of applications in various statuses within your Talent Bank. The available statuses depend on your Talent Bank's Process Flow configuration and may include default options such as:
- Filter the list of applications:
- Customising your Layout to show key information about the applications:
- Once you're in the layout displaying active applications, you can customise your view:
- Create custom layouts by clicking the cog icon in the layout toolbar.
- Select saved layouts from the drop-down list next to the cog icon.
- Filter the list of applications:
- Type keywords in the 'Filter results' box to search across all data.
- Click the down-arrow button next to 'Filter results' and select 'Show column filters' to enable filtering for individual columns.
- Click 'Edit Search' to perform an Advanced Search:
- For more specific searches, add advanced search criteria:
- Click the 'Edit Search' button at the top-left of the layout.
- Customise the search filters by selecting criteria in the search criteria filter box.
- This feature can help you identify candidates who match your specific requirements, such as candidates from a particular university or those with specific certifications.

Save the Talent Bank search for quick access:
To streamline future searches and bypass the need to repeatedly open the Talent Bank and load active applications, you can save your search for easy access. Follow these steps:
- Begin by loading the list of active applications, as described in steps 1 and 2 above.
- Click 'Edit Search' in the list of applications.
- In the dialog box that appears, select 'Save As New Search' and fill out the required information.
- Once your search is saved, you can conveniently access it by following these steps:
- Open the search box located in the top left-hand menu.
- Select the saved search from the list, and it will load the desired results without repeating the initial steps.
SENDING CANDIDATES A LINK TO AN OPPORTUNITY
Once you find a potential candidate for your role, you can send them a link to your opportunity so that they view the advert and apply directly:
- Open the opportunity and navigate to the 'Postings' tab:
- Go to the opportunity you want to invite the candidates to.
- Navigate to the 'Posting' Tab.
- The tab may also be called 'Oleeo Portal(s)'.
- Open the Posting Details:
- Click on the 'Details' link located on the right-hand side of the appropriate job board.
- Within the posting details, copy the link found under 'Advert URL.'
- Email the link to a candidate:
- Go into the Talent Bank candidate's Application Summary page.
- From the toolbar, click 'Communication' > 'Send Email'.
- Select an appropriate template such as the "Blank" template.
- Compose the email, paste the link and send it.
COPYING/MOVING AN APPLICATION FROM YOUR TALENT BANK TO AN OPPORTUNITY
Once your candidate has been contacted and expresses interest in your Opportunity, you also have the option to copy/move their Talent Bank application into the Opportunity. This skips the steps of having the candidate apply via the Application Centre, and each option has its advantages.
When to 'Copy' vs when to 'Move':
- Copy: This allows you to retain the candidate’s application in the Talent Bank, and creates a copy in the opportunity. This option is best when you want to retain the candidate in the Talent Bank so that your colleagues can also invite the application to their opportunities.
- Move: This will remove the candidate’s application from the Talent Bank and add them to the opportunity. Once the move is complete, they will no longer be in the Talent Bank. Some organisations choose to do this to avoid having candidates being progressed on multiple opportunities.
To copy or move an application from a Talent Bank to an opportunity:
- Open the application to the Talent Bank:
- Go into the Application Summary page for the application you would like to add to an opportunity.
- Select 'Opportunity' > 'Copy' or 'Move':
- In the Application Summary toolbar, select the 'Opportunity' dropdown (it may also be called vacancy).
- Select 'Move Application' or 'Copy Application'.
- Select the opportunity and status:
- In the dialogue box, select the opportunity you'd like to move/copy the application to.
- This will initially display the recent opportunities that you have viewed.
- If you want to move/copy the candidate to another opportunity click 'Show all Vacancies'.
- Select the status that you'd like to place the application in.
- Our general recommendation is to enable the 'Run Automatic Actions' checkbox, except in cases where you've chosen a status that triggers an automated email you'd prefer candidates not to receive.
- Click the 'Copy' or 'Move' button to confirm your action.
