The Adhoc Referrer field enables you to track applications from various external sources, such as external job boards, social media sites, Oleeo job alerts or even bulk email campaigns.

Essentially, it tracks any application submitted by candidates who accessed the vacancy outside of your Oleeo job board.

While some external sources are automatically recorded to the Adhoc Referrer field, others may require a bit of setup when posting the vacancy.

Once this field is added to your system, you can search for applications, include it in your table layouts, and filter reports based on the source of the application.

 

AUTOMATICALLY RECORDED SOURCES


In the following scenarios, the source is automatically recorded in the Adhoc Referrer field, with no additional setup required:

 

Indeed Apply and LinkedIn Posting integrations

If you use Oleeo's Indeed Apply or LinkedIn Posting integrations to post vacancies, these sources are automatically recorded in the Adhoc Referrer field when a candidate accesses the vacancy through these platforms. The source will be recorded as “Indeed Apply” or “LinkedIn” respectively.

 

Oleeo Job Alerts

When a candidate accesses a vacancy by clicking a link in an automated job alert sent from Oleeo, "JobAlert" will automatically be recorded as the Adhoc Referrer.

 

CREATING CUSTOM ADVERT URLs FOR RECORDING MANUALLY POSTED SOURCES


If you are manually posting a vacancy to an external source, or sharing it through an email campaign, you can record the source by adding a reference to the end of the advert URL. This allows you to monitor where applicants are coming from.

To access the advert URL for your vacancy:

If the vacancy is published on your Oleeo job board:

  1. Navigate to the opportunity's Posting tab (sometimes called Oleeo Portal(s)).

  2. Click the Details link on the right-hand side of the appropriate job board.

  3. In the posting details, copy the link found under Advert URL.

 

If the vacancy is not published on your Oleeo job board:

  1. Go to the External Posting tab.

  2. Create a private link for the vacancy.

  3. Copy the generated private link.

 

Adding the tracking code:

Once you have obtained the link, you can add the following code to the end of it to track the source:

?adhoc_referrer=source_name

  • Replace "source_name" with the name of the source, using underscores instead of spaces. For example, "Universal Jobmatch" could be written as universal_jobmatch.

Here’s an example of what the complete link could look like:

https://your-company.tal.net/vx/appcentre-ext/spa-1/candidate/post/1/en-GB?adhoc_referrer=universal_jobmatch

When a candidate applies using this link, the source universal_jobmatch will automatically be recorded in the Adhoc Referrer field of their application.

 

Name consistently:

  • Be consistent with your naming conventions for sources to simplify tracking. For example, avoid using "universal_jobmatch" for some vacancies and "universaljobmatch" for others.

 

Creating direct apply links

If you want candidates to bypass the job advert and be taken straight to the application page when they click on a link, you can add &instant=apply to the end of the URL.

This is useful when the external site already displays the job advert, and you want to streamline the process by directing candidates directly to the application form.

For example, the complete link could look like this:

https://your-company.tal.net/vx/appcentre-ext/spa-1/candidate/post/1/en-GB?adhoc_referrer=universal_jobmatch&instant=apply

 

RECORDING SOURCES FOR VACANCIES SCRAPED BY INDEED


When Indeed scrapes vacancies from an Oleeo job board, they can automatically add the ?adhoc_referrer URL token to track the source of applications.

 

Scraping is when Indeed collects job listings directly from your Oleeo job board to display on their site.

 

To ensure that sources are being tracked correctly, follow these steps:

  1. Visit Indeed and find one of your vacancies that has been scraped from your Oleeo job board.

  2. Click on the job advert and allow it to redirect you to the job page on your Oleeo job board.

  3. Look at the URL (the web address) at the top of your browser. The URL should contain ?adhoc_referrer=indeed.

    For example, the URL might look like this:
    https://your-company.tal.net/vx/appcentre-ext/brand-4/spa-1/candidate/so/pm/1/pl/1/opp/3-Customer-Support-Officer/en-GB?adhoc_referrer=indeed

  4. If the ?adhoc_referrer token is not present in the URL, this means the source is not being tracked properly. In this case, contact your Indeed representative to have this issue resolved.

By ensuring the token is in place, Oleeo can automatically record Indeed as the source for applications that come through this platform.

 

RECORDING SOURCES FOR VACANCIES POSTED VIA BROADBEAN OR IDIBU


Broadbean and Idibu are optional multi-posting tools that can be integrated with Oleeo, enabling recruiters to distribute job vacancies across multiple job boards efficiently. However, if these tools are enabled, when candidates apply through a job board posted via one of these intermediaries, the source is not automatically recorded in Oleeo.

To enable source tracking, a super user must contact Broadbean or Idibu for setup the adhoc referrer source tracking.

Broadbean

Broadbean will need to create custom source links for each job board posting. This involves adding the following code to the end of each URL sent to the job board:

?adhoc_referrer=jobboard_name

For example, if you’re posting to Universal Jobmatch, the source name could be mapped as universal_jobmatch.

 

Idibu

Idibu needs to add adhoc_referrer to their Application URL Tracking Parameter field. They will also need to map source text for each job board the client posts to. For example, Universal Jobmatch could be mapped as universal_jobmatch.

 

TRACKING THE SOURCES RECORDED


To track external sources, the application.source.adhoc_referer datapath must be added to your system’s Data Dictionary. A super User may be able to do this, otherwise they can contact Oleeo to arrange this.

Once this datapath is included in your Data Dictionary, you’ll be able to:

Note: This field cannot be used as an axis in statistical reports because its values are not fixed.

  

Variation in field names:

The Adhoc referrer field’s name is determined when it’s added to your Data Dictionary. The most common name is “Adhoc referrer (application source)”, but it could also be called something like “Ad Hoc Referrer,” “Adhoc Referrer - Application Source Tracking,” or “Application Source Tracking.”
