Opportunity/vacancy approvals overview

Depending on your organisation and its internal processes, you may be required to send your opportunity for approval before it can be activated, advertised and start receiving applications. Oleeo allows the flexibility for however many stages of approval an organisation needs.

After creating your opportunity, you will land on the Opportunity Summary Page. From this page, depending on what access your profile has, you can do anything from editing opportunity Details/Description to posting your opportunity to job boards.

 

If your opportunity does not require approval:
You can go straight to activating and posting your opportunity.

SENDING AN OPPORTUNITY FOR APPROVAL


Locating the Send for Approval button:
The available action buttons are situated just below the opportunity ID and title. They come in various colours - green (progress), red(reject/cancel), blue(alternative route) or grey. The buttons available may differ based on user profiles and access permissions.

To send your opportunity for approval after its creation, click the button with wording similar to "Send for Approval".

No action buttons visible?
If you do not see any action buttons, this means your profile does not require further actions. However, this doesn't necessarily indicate that your company does not have an opportunity approval process. Some systems automatically initiate approval upon opportunity creation.

Checking opportunity status:
The status of an opportunity is typically displayed at the top of the opportunity page, just below the opportunity ID and title. However, if your system or opportunity doesn't utilise an opportunity process flow, it won't have a status, and as a result, no status will be displayed.

 

APPROVING AN OPPORTUNITY


Automatic Email Notification to Stage 1 Approver:

Once the approval process commences, an email will be automatically dispatched to the stage 1 approver.

The approval email can be set up so that any information submitted in relation to the opportunity, such as the Job Description, Salary, and more, can be conveniently accessed within this email.

Approvers will provide approval in one of 2 ways, depending on your system's setup:

Option A: Direct link to opportunity in email:

The email can be set up to provide the approver with a direct link to the opportunity that requires their attention. This link allows the approver to access the system and utilise the action buttons to either "Approve" or "Reject" the opportunity.

Option B: Quick action links in email:

Alternatively, the email can include two hyperlinked texts: one for "Approving" the opportunity and the other for "Rejecting" it. These hyperlinks allow the approver to swiftly action the approval without the need to log in to Oleeo.

 

APPROVAL CONFIRMATION


Once your opportunity has been approved in all approval stages, the system will send the necessary people confirmation that the opportunity has been approved and can now be activated and posted.
