Oleeo has teamed up with TrustID to provide customers an all-in-one solution to carry out Right to Work checks in a quick, easy and compliant manner.

 

 

Customisation:

  • Certain aspects of the Right to Work process can be customised within Oleeo.
  • The names of the Oleeo statuses and fields mentioned in this guide might differ from those set up in your system.
  • You do not have the ability to modify any aspect of the TrustID interface.

 

INVITING THE APPLICATION TO COMPLETE RIGHT TO WORK (RTW) CHECK IN OLEEO


Once a successful application that requires a right to work check is identified, it will progress to the 'RTW check - Invited' status in Oleeo.

Please note that your system may be configured to automatically move applications to this status after the candidate accepts an offer. Alternatively, your system may require recruiters to manually move the application to the 'RTW Check - Invited' status.

 

CANDIDATE UPLOADS IMAGE OF DOCUMENTS AND SELFIE


The process of accessing the TrustID link from the Application Centre, as well as uploading documents and a selfie to TrustID, typically takes the candidate only a few minutes to complete.

Candidate accesses TrustID link in the Application Centre

When an application reaches the 'RTW check - Invited' status, candidates can access their unique TrustID link by clicking a button in the Application Centre. This will load the TrustID interface and update their Oleeo status to 'RTW Check - In Progress'.

If the candidate is using a computer to access the TrustID interface, they will be prompted to use their mobile device. They will be presented with a unique QR code, which they can scan using their mobile's camera to start the process. Alternatively, they can choose to email the link and open it on their mobile device.

The candidate will be taken to a TrustID webpage on their mobile and they will not need to download an application.

After the candidate has opened the TrustID link on their mobile device, they will be guided through the following steps:

  1. Privacy policy consent: The candidate will be requested to review and agree to the privacy policy before proceeding.
  2. Choose method of verification: The candidate will need to choose their method of identity verification, such as using their passport or a sharecode, and provide the necessary details accordingly.
  3. Document Image Upload: The candidate will be prompted to capture and upload images of their required document using the camera on their mobile device.
  4. Selfie Upload for Biometric Face Checks: The candidate will be required to capture and upload a selfie to facilitate biometric face checks for verification purposes.

These steps enable the candidate to securely upload their document images and selfie to TrustID for the identity verification processes.

Once the candidate has completed these steps, the status of their Oleeo application will move to ‘RTW Checks - Awaiting results’ whilst Oleeo waits for the TrustID to return a report and RTW status.

 

TRUSTID RETURNS A REPORT AND RTW STATUS TO THE ATS


TrustID conducts an assessment of the candidate's identity documents and verifies the authenticity of the uploaded selfie through facial matching.

If the TrustID technology successfully verifies the candidate automatically, the results will be available in the ATS within a few minutes. However, if manual review is required by a member of the TrustID team, the results may take up to 24 hours to be returned.

Once the TrustID report is returned to the ATS, the application's status will be updated to reflect the outcome, such as 'RTW Check - Passed' or 'RTW Check - Manual Review Required'.

 

VIEWING THE RTW CHECK RESULTS IN THE ATS


Viewing the results form

To view the TrustID RTW Check results, recruiters can follow these steps:

  1. Go to the candidate's Application Summary page.
  2. Open the 'Test Results' tab.
  3. Click on the ‘'TrustID RTW Check' link within the tab to access the results.

The TrustID RTW Check form will contain the following fields:

  • Report: This field allows recruiters to download the candidate's Digital Identity Right to Work Check results in PDF format.
  • Overall Status: The overall status field can be configured based on your requirements. By default, '0' signifies no issues, '1' indicates some issues that require manual review, and '2' represents issues resolved by the TrustID team.
  • RTW Status: This field indicates the candidate's Right to Work status. The possible values are as follows:
    • 'Continuous': This indicates a continuous statutory excuse. If the candidate produces a British passport, Permanent Residence Card, or Biometric Residence Permit showing indefinite leave, they have demonstrated that they have an indefinite right to work in the UK without any restrictions.
    • 'Time Limited': If the candidate presents a passport or Biometric Residence Permit with a time-limited right to work in the UK, the statutory excuse only remains valid until the expiry of the visa. Employers are expected to conduct follow-up checks.
    • 'Rejected': This status indicates that the candidate cannot produce a valid passport, Permanent Residence Card, or Biometric Residence Permit.
  • RTW Restrictions: This field provides information about any work restrictions applicable to the candidate to determine their eligibility for the offered position.
  • RTW Follow-Up Date: If right to work is time-limited, this field indicates the date when a follow-up check is required.
  • RTW Notes: This field contains general notes on the Right to Work status for the candidate's document.

Checking applications that are flagged for manual review

  1. Applications requiring manual review will be marked with the status 'RTW Check - Manual Review Required.' TrustID flags applications that are rejected, have document issues, or possess a time-limited right to work in the UK (customisable).
  2. On the Application Summary page, locate a button allowing access to the TrustID Review form for the application under review.
  3. In the TrustID Review form, recruiters must decide on the application status:
    • Select 'Passed - Progress' if the candidate has successfully passed the review.
    • Choose 'Failed - Reject' if the candidate has not met the required criteria.
  4. If the candidate passes, the application status will be updated to 'RTW Check - Passed.'
  5. If the candidate fails, the application status will be updated to 'RTW Check - Failed.'
