You can create advanced searches to find specific groups of opportunities or applications and save them for future use, designating them as 'Private' or 'Global.'
To quickly access your Saved Searches, utilise the search box at the top of the left-hand menu. Alternatively, you can manage your Saved Searches via 'My Tasks' > 'View Saved Searches', where you can also modify the properties of your Saved Searches.
LOADING A SAVED SEARCH FROM THE SEARCH BOX
- Go to the Search Box at the top of the left-hand hand menu.
- Click into the search box and type the name of your search.
- The top 5 results from each part of the system will appear below the search box.
- Click on a Saved Search to load it. The Saved Search's criteria will be displayed at the top of the page.
Tips for finding your Saved Search:
- When searching for Saved Searches, the system defaults to a contains search. For example, entering the text "opportunities" will find results with the title "All Opportunities Applications".
- If there are more than 5 results, click on Show all to see the complete list of results.
- If you have created a Saved Search with Tags, you can use the name of the tag in the search box to see all Saved Searches that have that tag added to them.
CHANGING A SAVED SEARCH'S FILTER CRITERIA
- Begin by loading a Saved Search from your list of saved searches.
- To modify the filter criteria, click on the Edit Search button located at the top of the search results.
- This action will open a dialog box containing the current search criteria.
- Review and make the desired changes to the filter criteria within the dialog box.
- After you've adjusted the criteria to your preferences, you have two options:
- Click Save Search if you want to save your changes and overwrite the existing search. This will update the existing search with your modifications.
- Alternatively, click Save As New Search if you want to create a new search based on the edited criteria. This is useful when you want to keep the original search intact and create a separate search with the changes.
Exercise caution when editing the filter criteria for searches created by other users:
- In addition to having access to the Saved Searches you've created, you can also access and edit the filter criteria for all 'Public' searches created by other users.
- Be mindful when making changes to searches created by others to avoid unintended modifications.
- To determine if a search is 'Public' or 'Private,' follow these steps:
- Navigate to 'My Tasks' > 'View Saved Searches' in the left-hand menu.
- In the displayed list of searches, look for a cross symbol () in the 'Private Search?' column. This symbol indicates that the search is 'Public.'
CHANGING A SAVED SEARCH'S NAME, TYPE AND APPLYING A LAYOUT
You can edit the Properties of any Saved Searches that you have created.
- Form the left-hand menu, navigate to My Tasks > View Saved Searches.
- You will be presented with the full list of Saved Searches that you have access to.
- Single-click on the Saved Search that you would like to edit.
- Click Edit Properties in the View Saved Searches toolbar.
- In the pop-up box, you will have the following options:
- Saved Search Name.
- Saved Search Type with the option to select Private or Public.
- Select Default Layout with the option to select from any 'Public Layout' or 'Private Layout' that you have created. If you select a layout, this will be used every time the Saved Search is run.
- Click Save Search.
You can only edit the Properties of your Saved Searches:
- You will not be able to edit the Properties for any of the Saved Searches that were created by another user.
