Oleeo partners with two SMS providers to support messaging: Bulk SMS for one-way communication and Twilio for two-way interactions.
With both providers, SMS messages can be sent in bulk to multiple recipients from an application list or individually from the Application Summary page.
TEXT MESSAGE BUDGET
If text messaging has been enabled on your system, there will be a defined bundle of text messages, which limits the total number of messages that can be sent.
For guidance on your system’s usage, speak to a super user or your Customer Success Manager at Oleeo.
CHECKING CANDIDATES HAVE OPTED IN
If text messaging is enabled in your system, candidates will be prompted to:
- Provide their mobile phone number, including the country dialling code.
- Confirm whether they consent to receiving updates via SMS.
Ensure candidates have opted-in:
Before sending a text message, ensure the candidate has opted in to receive SMS updates. You can do this by:
- Checking their application form.
- The opt-in field may also have been added to the Summary tab on the Application Summary page.
- Customising your application list layout to show the opt-in field. This field may be labelled as:
- "Do you wish to receive updates via text message?"
- "SMS - Opt-in".
SENDING TEXTS FROM A LIST OF APPLICATIONS
- Load the list of applications.
- Add a column to show if candidates have opted in for SMS:
- Click the ‘Customise Layout’ icon (represented by a cog) next to the layout dropdown.
- In the ‘Edit page layout’ box, go to the 'Layout Columns' tab.
- Use the search box at the bottom, the field may be labelled something like "Do you wish to receive updates via text message?" or "SMS - Opt-in".’
- Select the field, then click ‘Add Field’ and save the layout.
- Select candidates who opted in for SMS:
- Use Column Filters to show only the applications where candidates selected “Yes” for receiving text message updates.
- Select the applications you want to message.
- Select ‘Send SMS’:
- In the List Applications toolbar, click ‘Communication’ → ‘Send SMS’.
- Select the most appropriate template and submit. There will usually be one called ‘Blank Template’ that allows you to compose the message from scratch.
- Compose the message:
- It’s recommended to include the candidate’s name and your organisation name in the message for a personal touch.
- When sending messages in bulk, you can easily merge the candidate’s name by clicking ‘DP’ in the Rich Text Editor and selecting “Firstname” from the Application dropdown.
- Preview the message:
- Once your message is written, click ‘Preview’ to check it.
- If you have included datapaths, the details of the first candidate you selected will merge into the preview.
- Send:
- Click ‘Send Correspondence’.
SENDING FROM THE APPLICATION SUMMARY PAGE
- Load the candidate's record (Application Summary page):
- Navigate to the candidate’s Application Summary page for whom you want to send a text message.
- Check the candidate has opted in:
- A field may have been added to the ‘Summary’ tab. If not, go to the ‘Forms’ tab and open their main application form.
- Select ‘Send SMS’:
- In the Application Summary Toolbar, select ‘Communication’ → ‘Send SMS’.
- Select the most appropriate template and submit. There will usually be one called ‘Blank Template’ that allows you to compose the message from scratch.
- Compose the message:
- It’s recommended to include the candidate’s name and your organisation name in the message for a personal touch.
- Send the message:
- Once the message is composed, click ‘Send SMS’.
USING THE COMMUNICATIONS WIDGET TO SEND AND VIEW RESPONSES
If the Communications Widget is enabled in your system, you’ll find it on the right-hand side of the Summary tab within the Application Summary page.
Viewing communication:
- All email and text communication sent from the system will be displayed in this widget.
- All text messages sent to the candidate will appear, regardless of which application they were associated with.
- Only emails related to the specific application you are viewing will be shown in the Communications Widget.
Candidate SMS responses (Twilio only):
- If you're using Twilio for text messages, responses from candidates will also appear in this section.
- Click ‘Mark as Read’ after viewing a response. A tick will appear next to the response, indicating it has been read.
Sending new messages using the Communications Widget:
You can also send new text messages via the SMS section of the widget:
- Type your message into the text area.
- Click ‘Send SMS’ to send the message.
