OVERVIEW


You can move or copy applications to a different opportunity. These actions can be performed individually or on a group of applications.

  • Move application - This action relocates the application from its current opportunity to a new one.
  • Copy application - This action preserves the existing application while creating a duplicate linked to the opportunity of your choice.


Examples of When to "Move":

  • A candidate has reached the maximum allowable applications and wishes to put one of their applications forward to a different opportunity.
  • Your initial vacancy covered a broad region, but now you've opted to create vacancies for specific cities. In this case, you wish to redistribute the applications accordingly.

Examples of When to "Copy":

  • You wish to put forward candidates to your Talent Bank who were unsuccessful in their application to a vacancy.
  • You wish to copy candidates from a Talent Bank into a vacancy but still want to keep them in the Talent Bank.

 

STEPS TO MOVE/COPY APPLICATIONS TO ANOTHER OPPORTUNITY


  1. Initiate the process:
    • To move/copy an individual application:
      • Navigate to the Application Summary of an individual candidate.
      • From the toolbar at the top-right of the page, select Opportunity > Move Application or Copy Application.
    • To move/copy a group of applications:
      • Load the applications in a list.
      • Select the applications that you would like to move / copy by single-clicking on their row.
      • From the toolbar at the top-right of the list, select Bulk Actions > Bulk Move Application or Bulk Copy Application.
  2. In the pop-up box that opens:
    • Opportunity / Event - The first dropdown will display the opportunities you have viewed recently. If you want to move/copy the candidate to an opportunity that you have not viewed recently, click the 'Show All Opportunities / Events' link.
    • Status - Select the status that the application will be moved/copied to. If you are moving, you will typically select the status their application currently sits in. If you are copying, it's best practice to move their application back to the start of the process (e.g. your system's new application status).
    • Run Automatic Actions: It's generally advisable to select this checkbox to ensure any autoscores associated with the status that you are moving the application to are run. However, you should be aware that checking this box will also send any automated emails associated with the status you selected.
  3. Click the Move Application/Copy Application button.

Points to Keep in Mind:

  • Attempting to attach a candidate to an opportunity they are already associated with will trigger an error message, as candidates cannot be linked to an opportunity more than once.
  • When you move an application, the Application ID stays unchanged. However, if you choose to copy an application, a new record is generated with a unique ID.
  • For systems with the anonymisation feature, copying or moving a candidate to a new opportunity will recalculate the anonymisation date. It's important to note that the retention period remains unchanged. Refer to our comprehensive Anonymisation Guide for further details.
